Bookings
Manage traveler bookings, payments, cancellations, and repayments for packages.
The Bookings page is where you manage all travel bookings in the system. Each booking links a traveler (or group of travelers) to a package, and tracks payments, claims, and traveler details. From here you can update traveler information and activity, manage payments, cancel individual travelers, and initiate repayments where applicable.
Navigating to the Bookings Page
Navigate to the Bookings page to see a list of all bookings in the system. From here you can search, filter, and open any booking to manage it.
Editing an existing Booking
To view or edit a booking, click on it from the bookings list. This will open the booking form, where you can edit and update the details.
This page displays which travelers/attendees are associated with the booking and the payments that have been made or are due for the booking.
The following fields are automatically populated when a booking is created:
- Booking: The unique identifier for the booking.
- Package: The package associated with the booking.
- Reference: A reference number for the booking.
- Traveler payer: The traveler who is responsible for the payment of the booking.
The following read-only fields provide summary information about the booking:
- Email Status: The current status of the booking confirmation email — one of Created, Ready to send, or Sent.
- Email Sent: The date and time when the booking confirmation email was sent.
- No of travelers: The number of travelers in the booking.
- Sales Amount: The total price of the booking.
- Payments: The total amount paid for the booking.
- Balance: The remaining balance due for the booking.
- Claims: The total amount claimed for the booking.
- Booking Notes: Any notes or comments related to the booking.
Claims
The Claims section displays all payment claims associated with the booking, including the payment method, amount, due date, and whether the claim has been paid. See Payment Claims for more details.
You can add a new claim directly from the booking page by clicking the New Travel Booking Claim button above the claims grid. If a traveler is cancelled, a repayment claim can be initiated from here where applicable.
Travelers/Attendees
In the Travelers/Attendees section, you can see all travelers or attendees associated with the booking. This includes their names, contact information, price band, and price per person. Passport details (number, expiry date, nationality, and date of birth) are also stored per traveler and are important for travel documentation.
You can add new travelers to the booking by clicking on the New Travel Booking Traveler button. You can also cancel a traveler from the booking, which will update availability and trigger repayment processing if applicable.
Creating a new Booking
Bookings cannot be created directly from the Bookings page. They are generated when a traveler is registered to a package via the Journal, which creates the corresponding booking record automatically.
